- Chat Message Trigger: The workflow activates instantly when a new chat message is received from a customer. This can be from any chat platform connected via n8n’s Chat Trigger (e.g., WhatsApp, SMS, webhooks from other chatbots or forms).
- AI-Powered Information Extraction: An AI agent, powered by the Google Gemini Chat Model, processes the incoming message. It’s specifically instructed to extract crucial customer details such as their name, contact information, and the full text of their query.
- Intelligent Follow-Up: If any essential information (like name or contact) is missing from the initial message, the AI agent is programmed to politely ask the user for the necessary details. This ensures all required fields for a complete ticket are collected.
- Automated Summary & Ticket ID Generation: The AI automatically generates a concise, one-sentence summary of the user’s query. Each ticket is also assigned a unique Ticket ID, ensuring easy tracking and management.
- Conversational Confirmation: Once all required information is gathered, the AI sends a friendly conversational reply to the user, confirming that their support ticket has been created and providing them with the generated summary.
- Structured Data Storage: A custom code node parses the AI’s output, ensuring the extracted information is properly structured. An ‘If’ node then verifies that all critical data points are present.
- Google Sheets Integration: Finally, the complete and structured support ticket (including timestamp, user name, contact, original query, AI-generated summary, and status) is automatically saved or updated in a designated Google Sheet. This creates a centralized, accessible record for your support team.
