1. Webhook Trigger: The workflow begins with a webhook, which typically receives a notification from Fireflies.ai once a meeting transcript is ready. This ensures the automation starts immediately after your meeting is processed.
2. Transcript Retrieval: The workflow makes an HTTP request to the Fireflies.ai GraphQL API to retrieve the full meeting transcript, using the meetingId from the initial webhook.
3. Data Structuring: The retrieved transcript data, often in a complex format, is then processed by n8n’s Split Out and Aggregate nodes. This step is crucial for transforming the raw transcript into a format that the AI can easily understand and process, specifically aggregating raw text into a coherent block.
4. AI-Powered Summarization: The cleaned transcript is then sent to an OpenAI model/Gemini. The AI acts as an expert assistant, tasked with generating a structured meeting recap. It extracts and summarizes:
   • Meeting Agenda: Identifies and summarizes main topics.
   • Executive Summary: Provides a 1-2 paragraph overview of key discussions, agreements, disagreements, and action items.
   • Sentiment: Assesses the emotional tone of the meeting (e.g., positive, tense, collaborative).
   • Key Decisions: Lists all significant decisions made in bullet points.
5. Notion Integration: Finally, the AI-generated structured summary (including agenda, summary, sentiment, and key decisions) is automatically created as a new page in your specified Notion database. This centralizes your meeting notes and makes them easily searchable and accessible to your team.
